Job Description

Our client, a reputable and continually growing organization is seeking a Lease Administration Specialist to join their accounting and operations team in Halifax, NS.

This permanent, full-time opportunity is ideal for a detail-oriented professional with experience in property management, lease administration, or accounts receivable who enjoys working with financial data, supporting business operations, and improving processes. Reporting to the Controller, this role provides key administrative and financial support across lease management, revenue activities, payment programs, reconciliations, and month-end processes while offering the opportunity to take ownership of important functions within a collaborative team environment.

Key Responsibilities for the Job:

  • Support the administration of residential leases, including move-ins, move-outs, transfers, renewals, and lease amendments
  • Review and maintain accurate resident records, lease terms, rental rates, incentives, occupancy status, and resident account information
  • Administer resident payment programs and process EFTs and other resident payments
  • Monitor resident accounts, investigate and resolve payment discrepancies, unidentified receipts, and account balance issues, and support collections activities as required
  • Perform regular rent roll reviews and reconcile lease activity, including transfers, renewals, concessions, rent increases, and occupancy changes
  • Investigate account variances, resident credits, missing charges, and other discrepancies while maintaining strong internal controls over rental revenue
  • Ensure lease transactions are accurately reflected in resident ledgers, revenue reporting, and the property management system
  • Prepare and distribute rent roll, occupancy, resident account, and revenue reports, and assist with month-end reconciliations and financial reviews
  • Support Finance with audit requests, documentation, and revenue-related reconciliations
  • Collaborate with Leasing, Property Management, Operations, and Finance teams to resolve lease and resident accounting issues while ensuring accurate information flow
  • Serve as a key liaison between Operations and Finance for lease administration and resident accounting inquiries
Experience & Attributes for Success:
  • Diploma or degree in Accounting, Business Administration, Finance, or a related field
  • 2+ years of experience in property management, lease administration, resident accounting
  • Proficiency with accounting software; experience with Yardi is strongly preferred
  • Strong attention to detail with the ability to manage multiple priorities and deadlines
  • Analytical mindset with the ability to investigate discrepancies and understand underlying details
  • Excellent communication skills with the ability to work collaboratively with others
  • Strong organizational skills and a proactive approach to problem-solving
