As an Administrative Assistant, you will:
Open client accounts and projects by applying the rigorous conflict-of-interest verification process;
Prepare billing based on the information received and finalize it;
Produce, proofread, edit, and format various documents according to firm standards;
Manage and file documents, including signature requests;
Communicate with clients (emails and calls as needed);
Assist partners with calendar management;
Prepare and process expense reports;
Follow up on incoming requests and prioritize tasks based on urgency;
Support team activities and internal communications;
Work collaboratively with administrative support colleagues to streamline information sharing and optimize processes.

DEP, AEC, or DEC in office administration;
5 years of relevant experience;
Experience in a professional services firm, a strong asset;
Ability to quickly learn and use new technological tools;
Excellent customer service skills and sound professional judgment;
Excellent command of French and English, both spoken and written. English proficiency is required as clients and many files handled at the Town of Mount Royal office are predominantly Englishโspeaking, and the role involves frequent communication in that language;
Ability to work in a team and manage multiple files simultaneously;
Demonstrated skills in organization, coordination, autonomy, speed, precision, and discretion;
Ability to work under pressure and manage stress;
Strong knowledge of MS Office Suite and specialized software;
Ability to manage priorities;
Capacity and willingness to adhere to a hybrid work schedule (3 days onsite).
